To reach out to thousands of alumni across the world, and bring them together for the 150 years celebrations seemed a herculean task as there were barely 300-odd names recorded through our past reunions since 2006 and the school had even fewer records.
So began a massive search to trace alumni. To deal with individuals was impossible and thus the idea of locating and appointing batch representatives . Its only when a structured organisation emerged and responsibilities were allocated that things began falling into place.
Representatives were assigned to batches from 1950 to 2015, and invited to be part of a specially formed ‘150 Years Celebrations Sub-Committee’. The challenge now was to plan events and build excitement towards the final celebrations in January 2016 - still over six months away! The stage was set for batch reps to connect with batch mates. The alumni database began to grow. So far so good – but would we be able to pull off our ambitious plans? The challenge had to be met.
Involvement of batch reps was increased through opinion polls. Their inputs led to the formation of a strategy; the focus was on monthly countdown events leading up to the big celebrations in January 2016.
The first event was ‘Meet and Greet’ in August 2015, and I realised the enormous talent pool within the alumni itself. But, the enormous efforts required for gathering alumni for the first event in August made us think twice! The Committee questioned the need for so many countdown events, but, I knew that any strategy needs time to be successful. And, so we moved ahead, realising that the mantra was to be well prepared and market future events aggressively.
The OGA at this point was converted into the St. Mary’s School (Pune) Alumni Association, welcoming 20 batches from the boys section into its fold. The number of batch reps increased, and the subcommittee strength grew even further. The closed Alumni group on facebook, where information was strictly school- and celebration-related, grew at an unbelievable pace as batch reps added their alumni contacts.
Social media skills were put to use. Now, everybody was charged. The alumni Stand-up Comedy night in September was the turning point, where I saw the first ray of success. Bingo! A cooking demo in October, an alumni fashion show in November, and an all-alumni play in December were huge successes. There was excitement galore. Hurrah!
We were able to move into the New Year with a bang! ‘Meet Your Teachers’ and ‘Club Night’ were precursors to the Grand Ball at the Westin on 17th Ja nua r y2016 – the much awaited grand finale. All this could be achieved with the support and commitment of Committee members and dedicated volunteers from among the alumni. We were planners, event managers, designers, advertising and marketing professionals, all rolled into one. And, WOW! What a team it was that made January 2016 a fun-filled and truly memorable celebration month. The idea of the Alumni Play Brochure and a Coffee Table Book was the icing on the cake. Batches were roped in to contribute, and they did it with enthusiasm.
The Alumni Association, which had no resources, no wherewithal and yet wanted to celebrate the 150th anniversary of its alma mater with the style that such a milestone deserved, had succeeded in getting its act together!
Miles to go before I sleep... these words of Robert Frost have had a greater impact in my post-St. Mary’s years than when I was in school. I look back with a sense of achievement. Thank you Committee, thank you reps, and all those who believed, and above all, thank you God for making our dream come true!
